Do You Need a Thermal Printer to Ship? When Letter Paper Is Enough
Decide whether a dedicated thermal printer solves a real shipping problem, or whether your existing desktop printer is enough.

You do not need a dedicated thermal printer just to start shipping. If your shipping service produces a label that your existing printer can print correctly, start there. A thermal printer becomes more attractive when cutting, attaching and handling individual sheets becomes a recurring inconvenience.
Pirate Ship's getting-started guide describes ordinary desktop printing on letter-size paper as well as dedicated thermal printing. Its printer-free QR route is another option where the service and carrier support it. Confirm the exact option when purchasing your label.
Compare routines, not just printers
| Situation | Sensible first move |
|---|---|
| A few occasional shipments and a working desktop printer | Print a correctly sized sample with the equipment you have |
| Labels repeatedly need cutting and attaching | Compare self-adhesive desktop sheets with a dedicated printer |
| You mainly work from a phone | Confirm the entire phone-to-printer route before buying |
| You have no printer and infrequent shipments | Check your service's supported counter or QR options |
| Several people pack orders | Decide who generates, prints and attaches each label |
There is no universal number of parcels at which an upgrade pays for itself. Supply costs, time, space and your existing equipment differ. Do not treat a manufacturer's time-saving claim as your own measured result.
Run a short trial
Choose a normal shipping day and note where the work slows down. Is it exporting the correct PDF, finding a file, printing, trimming paper or matching labels to parcels? A dedicated printer addresses some of those steps, but will not fix confusing filenames or an incomplete order checklist.
Keep the comparison simple: use the same label file and count the steps from download to attachment. Include setup, loading stock and dealing with a failed print. The aim is to find whether a change helps your routine, not to justify a purchase you have already decided to make.
Remember what a label printer does not replace
It does not weigh or measure the parcel, choose suitable packaging, verify an address or purchase postage merely because paper feeds through it. The information and shipping service still need to be correct. Separate the equipment choice from the parcel-preparation checks.
If you stay with letter paper, confirm the shipping platform's layout and attachment instructions. If you switch to thermal, obtain the correct label stock and print a sample before a live batch. Our label-size guide helps distinguish file-size problems from printer problems.
When you are ready to compare hardware
Start with the 4x6 printer connection guide, then narrow the choice by device support and label supply. Buying the right connection is more useful than buying a faster specification you cannot conveniently use.
