Shipping Label Prints Too Small? Check File, Paper and Stock Size

Troubleshoot label-size errors by comparing the source PDF, software paper setting and physical stock before changing hardware.

When a shipping label is clipped or unexpectedly tiny, compare three things: the size of the label file, the paper size selected in the print dialog and the stock inside the printer. They need to describe the same intended output. Changing only the printer setting cannot turn every letter-size PDF into a correctly cropped 4x6 label.

Identify the mismatch

What you seeCheck first
A tiny label in one cornerWhether the PDF contains a full letter-size page
The right image with one edge missingPage size, orientation and preview
Correct size in one app but not anotherEach app's saved print settings
Wrong size only on a second computerThat computer's paper size and printer preferences
Full blank labelsMedia and printer diagnosis, rather than scaling alone

These are starting points, not proof of a particular fault. Save the original label file so you can compare each change against the same source.

1. Check the shipping platform's export

Open the file before printing. Does the label fill a 4x6 page, or sit inside a larger sheet? If the platform has a thermal-printer layout, select the intended layout there. Avoid repeatedly stretching a label image until it merely looks close.

ShipStation's official size troubleshooting separates label format in ShipStation from printer settings in the operating system. It says the paper size and resolution must match and distinguishes thermal from ordinary desktop layouts.

2. Check the print dialog

Select the actual printer, then inspect paper size and orientation. Saved presets may belong to a different printer or stock size. Review the preview before sending more paper through the machine.

Etsy's printing instructions tell users to inspect the preview and warn that distorted labels may not scan. Its currently documented 4x6 label-printer option is for USPS labels; do not assume every carrier workflow on Etsy has the same format.

3. Check the loaded stock

Read the package rather than estimating by eye. A different roll width, continuous stock or label length may require a different preset and the manufacturer's media-learning procedure. Do not apply a calibration button sequence from another brand.

Test one change at a time

Print a sample, compare it with the original and record the setting that changed. If the first test is still wrong, return to the three-size checklist rather than increasing batch quantity. A successful preview does not prove that the printer will feed correctly; inspect the physical output too.

If size is correct but the print is blank or faint, switch to our blank-label guide. If this problem arose after buying supplies, check the roll and fanfold compatibility list.
